The firm

Loving Alliance is an artist-management and label group. Its work sits between artists, record labels, publishers, agents, promoters and merchandise partners, with a constant flow of communication, decisions, tasks and deadlines. The aim is to handle the operational work around each artist so artists have more time to focus on creative work. As the roster grows, that becomes increasingly difficult without adding more management time.

The problem

Loving Alliance was already using Claude every day for writing, research and data analysis — but in the browser, one chat at a time, rather than the Claude Cowork desktop app, which can reach the files and tools where the work actually lives.

Information was copied into the chat, the task was explained and refined, and the answer was copied back into the tool where the work belonged. Claude could help with part of a job, but it was not taking recurring work off the company’s plate.

Three areas stood out:

Recurring invoices were simple but easy to delay, which could delay payment.

New tasks had to be manually transferred into Airtable with the right artist, owner, deadline and priority.

Preparing for the day meant checking different places for important emails, meetings and outstanding work.

What we did

We started by creating a local second brain for Loving Alliance. This gave Claude a structured source of context about the business, its artists, partners, tools, working preferences and examples of previous work.

Cowork was then connected to the systems where the work already happened — Gmail, Google Calendar and Airtable — so it could act in them rather than hand back text to paste.

During the session, three reusable automations were built and tested.

01 Recurring invoices

Claude uses saved client information and previous invoices to prepare the correct invoice in the established format, ready for review and sending.

02 Task capture

A spoken instruction becomes a structured Airtable task with the correct artist, owner, deadline and priority, removing the need to enter it manually.

03 Daily planning

A morning briefing brings together priority emails, meetings and outstanding actions so the day can begin from one clear view.

Each workflow was tested using real examples and adjusted until its output was good enough to use.

The bigger change is not the hours. Invoicing was never a long job — it was an easy one to put off, and every week it slipped was a week later getting paid. It now happens on time.

The result was not only less administration. Loving Alliance also left with a practical method for identifying suitable work, selecting the right AI building blocks, testing the result and improving it over time.

Afterwards, the business independently built another internal tool using Claude in two days. The training had changed AI from something used inside isolated chats into something Loving Alliance could keep applying to its own work.
